Privacy notice

Trellis is a tool used by Lambeth Green Party members to keep track of the community organisations in the borough: who they are, what they do, and when we last spoke to them. This notice explains what it records about people, and what you can ask us to do about it.
Who is responsible
Trellis is currently operated by Cyrus Gilbert-Rolfe, who is the data controller for the information held in it. We have asked the Green Party to take on that responsibility, and this notice will be updated when they do.

Trellis is not a voter database
Trellis records community organisations, the gardens, food banks, faith groups, residents’ associations and similar groups that operate in Lambeth. It does not hold electoral data, canvassing returns, or records of how anybody votes or intends to vote.
What we record, and about whom
Two groups of people appear in Trellis.
Party members who use it. Their name, email address, role in the party, the ward or branch they cover, when they signed in, and a record of the contact they have logged.
People who work at or run community organisations. Their name, and where we hold it, their role at the organisation, a work email address and a work phone number. Alongside that we keep notes written by the member who met them, recording what the organisation is doing and what was discussed.
Where we got it
Information about our own members comes from them directly.
Information about people at community organisations usually comes from a party member who met them, or from the organisation’s own public website. We do not buy data, and we do not collect names from social media.
Why we hold it
We hold it so that the party can keep track of its relationships with community organisations across the borough, avoid approaching the same group repeatedly or forgetting it entirely, and support the councillors and organisers doing that work.
Our lawful basis for this is our legitimate interest in maintaining those relationships. We are reviewing that basis with the Green Party and will update this notice if it changes.
Trellis is not intended to hold information about anyone’s political opinions, health, religion or other sensitive personal matters, and members are asked not to record it.
Who can see it
Only party members who have been given an account. There is no public access and nobody can sign themselves up. Members can mark a note as visible to everyone with an account, to their ward team, or to themselves alone.
How long we keep it
We have not yet set a retention period. Trellis is a pilot and this is one of the things being worked out. In the meantime, if you ask us to remove your information we will do it.
Your rights
You can ask us to show you what we hold about you, correct it if it is wrong, delete it, or stop using it. You can object to us holding it at all. There is no charge and we will respond within one month.

This is a pilot
Trellis is being trialled by a small group of Lambeth Green Party members. It is not an official Green Party system and the party has not adopted it. This notice describes the position today and will change as that is resolved.
